What is a roster? Where can I find a template or a sample roster?

A roster is a listing of individuals enrolling in the insurance plan offered by HTH Worldwide. The roster is completed by the sponsoring institution and submitted to HTH Worldwide. After processing, this information will be available online for editing, printing and review in the Enrolled Participants section and may also be printed from the Invoice Report of the Invoicing section of the site. A template for electronic roster submission is available to download.

How do I submit a roster?

HTH Worldwide accepts online enrollment and electronic uploads of rosters in the Rosters section of our site. Directions are posted there for roster submittal. You may also send your rosters to HTH Worldwide, Enrollment Department, One Radnor Corporate Center, Suite 100, Radnor, PA 19087, or by fax to 866.281.1643.

New! What is a pending roster?

A pending roster is a roster that has potential matches between an individual's name and other newly submitted information with an existing record in the HTH Worldwide system. These records must be resolved and then the roster may be submitted. Maintaining a unique certificate number throughout an individual's coverage history allows us to better serve their insurance needs and provide them with uninterrupted access to the valuable tools provided on our website, www.hthstudents.com. If you have any questions, you can contact your HTH Account Manager at 1.800.394.2500 or the HTH Enrollment Department at 1.866.281.1668.

New! How do I know if I have any pending rosters?

Participants are not enrolled in to the HTH Worldwide system until all records are resolved on a pending roster. A pending roster can be viewed by clicking on the 'Pending Rosters' link between the 'Upload Roster' and 'Submitted Rosters'. This link will ONLY appear if there are pending rosters.

New! Why do I receive an email with the subject 'Current Pending Roster Notification'?

The current pending roster email serves as a notification that the issues on the pending roster have not been resolved. All records must be resolved for the roster to be fully submitted. If there are no potential matches on the roster, it will NOT be pended.

New! How do I resolve potential matches on a pending roster?

When you submit a roster, if the system finds a potential record match, you will be prompted to SELECT an action from the following options:

  1. This is not a new participant.
    Please extend coverage for the Existing HTH Participant. Selecting this option verifies that the existing HTH Participant record is the same person you are currently seeking to enroll. The new record is accepted with the new dates of coverage and the current certificate number remains the same.
  2. This is a first-time new participant.
    Please enroll this individual as a new participant at (School/Organization). Selecting this option indicates that the individual on your current roster has never been insured with HTH and should be issued a new certificate number.
  3. Please delete this roster entry.
    No coverage is needed at this time. This option indicates that the individual you are seeking to enroll is already covered for the period of time you desire and will be deleted from your current submission.

I sent my roster to HTH Worldwide by mail or fax. Can I edit/update the roster online?

Yes. Although you won't be able to directly edit the submitted roster, the Enrolled Participants area allows you to edit all participants' information. Please allow 24 hours after receipt of the roster by HTH Worldwide before the new participants will appear as enrolled students on our site.

May I include dependents on my rosters?

Dependent coverage is normally available in HTH Worldwide plans. If your group plan already includes this coverage (see Plan Information), you may include participants' dependents on your rosters. To inquire about adding dependent coverage, please contact your Account Executive.

How can multiple current rosters benefit me?

Users may wish to create a new current roster for a specific program, for participants going to or coming from one country, or for a single department. More than one of these rosters can now be built at the same time, allowing a user to exit a current roster if all of the needed information is not yet available, build another roster, and return to the first roster at a later time. In addition, users can now name their rosters which will allow identification in the same way the information is identified internally.

Does the multiple roster technology change the way I will be invoiced?

No. Users will still receive one invoice for each submitted roster.

What if I don't need to use multiple rosters?

Don't worry. All you need to do is choose to create a new roster or click your roster name if you didn't submit a roster the last time you logged off.

How do multiple rosters work?

Users may have more than one roster open at any given time. New rosters are created when users select 'Create a new roster' or when the 'Renew' or 'Change' features on the Enrolled Participants list are used (the renewals and changes can also be put on existing open rosters, if desired). Each roster can be named by the person creating it. Users can add participants to a roster by choosing the roster name from the Open Rosters page. Enrollment functionality is unchanged - participants are still added by using the 'Add Participant' button or by uploading a roster template to the site.

How do I renew an enrolled student's coverage?

You may renew participants' coverage online in the Enrolled Participants section of the site, where directions are also posted. If you prefer, you may send any enrolled student renewal information to: HTH Worldwide, Enrollment Department, One Radnor Corporate Center, Suite 100, Radnor, PA 19087, or by fax to 866.281.1643.

How can I change or update my enrolled students' information?

Changes or updates to enrolled students' information can be made online in the Enrolled Participants section of the site. We will issue a credit or invoice for any changes which impact the premium. You may also send these changes or updates to: HTH Worldwide, Enrollment Department, One Radnor Corporate Center, Suite 100, Radnor, PA 19087, or by fax to 866.281.1643.
